A UK construction business was managing non-conformances and ISO 9001 compliance through spreadsheets and SharePoint folders. We built an Integrated Management System on Dataverse to centralise non-conformance tracking, corrective actions and evidence management in one governed platform, with live visibility, automated reminders and a clear timeline linking every action back to the issue it relates to.
Non-conformance tracking running across spreadsheets and SharePoint folders
The client’s Integrated Management System was spread across Excel and SharePoint. Non-conformance records were created, updated and circulated in spreadsheets, with evidence files dropped into SharePoint folders named by ID number. Every review involved switching between systems to piece the story together, which took time and made it harder to keep records aligned and current.
Beyond the records, there was no structured way to assign corrective and preventative actions, track completion or see the status of outstanding issues at a glance. Managers had no single live view across the business, audit trails were spread across multiple tools, and without automated reminders, items stayed open longer than the quality team wanted. Internal and external audits took noticeably longer to prepare for because the supporting picture had to be assembled by hand each time.
The client wanted a single Integrated Management System that brought non-conformances, tasks, evidence and audit trails into one place, with consistent workflows and reporting designed around ISO 9001 from the start.

We designed and built an Integrated Management System as a model-driven app on Microsoft Dataverse. The platform brings non-conformance tracking, task assignment and evidence management into a single governed system. Users create non-conformances, assign corrective and preventative actions, attach evidence and track completion in one place. Automated workflows handle reminders and escalations, and managers get live visibility of outstanding issues. Non-conformance management in a model-driven app
Quality teams create non-conformance records directly in the Integrated Management System, capturing source (audit, client complaint, internal review), description, severity and affected area. The form drives the full lifecycle from creation through investigation to closure, with a complete audit trail of every change against the record.

Task assignment and corrective actions
Within each non-conformance, users create tasks for corrective and preventative actions, assigning them to specific people with due dates and priorities. Assignees are notified automatically and update status in the app rather than over email. Managers see every outstanding task across the business and can drill into completion rates by area, owner or severity.

Evidence management in one place
Evidence is uploaded directly within the Integrated Management System and stored against the record. Photos, documents and reports attach straight to non-conformances and tasks, so everything related to an issue lives in one place under the same governance and access controls. No more switching to SharePoint to find the file referenced in the spreadsheet.

Automated PDF reports and an objective tracker
When a non-conformance is closed, the platform generates a PDF summary showing the full story: who raised it, every assigned task, the corrective actions taken, who completed each one and when, and the evidence behind each step. The same Integrated Management System includes an Objective Tracker module for managing business objectives with the same workflow: create the objective, assign tasks, attach evidence, track progress and produce a PDF summary on completion.

The Integrated Management System was deployed through a governed pipeline across Dev, Test and Production environments, following Microsoft Power Platform ALM guidance, with the ISO 9001 audit trail validated end-to-end.
