Asset Manager
The company struggled with asset management, tracking devices and equipment across multiple sites using outdated spreadsheets. We built an Asset Manager app with Microsoft Intune integration, automatically syncing device data daily from Intune. The platform tracks devices, mobile phones, equipment records and PPM testing schedules, providing real-time compliance visibility, contract management and automated alerts for missing or out-of-sync devices.
Outdated spreadsheets failing to track devices and equipment
Historically, the company relied on Microsoft Intune to track mobile devices and laptops, while maintaining a separate asset register in Excel for managing equipment such as monitors, keyboards, chairs and site equipment. The two systems operated independently with no integration, creating significant inefficiencies and data inconsistencies.
The Excel spreadsheet required manual updates whenever devices were added, removed or reassigned. With hundreds of devices across multiple sites, keeping the spreadsheet current was practically impossible. Information had to be updated in two different locations, leading to duplication of effort and an increased risk of errors. Device compliance status, assigned users and synchronisation health from Intune had to be manually cross-checked. Excel to determine which devices were active or needed attention.
Mobile phone contract management presented additional challenges. The company needed to track which devices had which phone numbers, monitor contract expiry dates and maintain visibility of active devices at any point in time. Without automated tracking, contracts were occasionally overlooked, leading to unnecessary renewals or missed opportunities to renegotiate. Employees also had no centralised system for reporting device issues, repairs or losses, making it difficult to maintain accurate asset records and ensure operational transparency.

Intune Integration — Automated Daily Sync
Power Automate connects to Microsoft Intune via API every night, retrieving all device information including compliance state, assigned users, device models, serial numbers and last sync dates. For mobile devices, the integration also captures phone numbers when supported by the SIM card. All data is automatically updated in Dataverse, ensuring the asset register is always current without manual intervention.

Missing Device Detection — Automated Alerts
The system monitors when devices last synced with Intune. If a device hasn’t synced for more than 30 days, managers receive automated notifications to investigate potential missing, lost or stolen equipment. Users can add notes for repairs, tracking and incidents, maintaining a complete history of each device and ensuring accountability across the organisation.
